Privacy policy

Effective 21 September 2026 · Version 2026-09-22.1

Well Foran LLC operates IN CHAIR. This policy explains how we handle information in the app and the choices available to you.

Information we collect

Account information includes your email address, email-verification status and the identifiers needed to operate your IN CHAIR account. Stylist applications include your credential name, profession, issuing country and region, licence or registration number, authority, optional expiry date, qualifications, attestations and manual review records. Salon workspaces store the salon name, owner, member account identifiers, roles, seat status and time-limited invitation records.

Consultation information includes names, contact details, hair goals and history, preferences, budgets, routines, photographs, proposed services, prices, private stylist notes, service records, formulas, aftercare and check-ins that users submit. We also store invitations, client connections, service menus, setup drafts, support correspondence and policy-acceptance records.

A stylist who chooses to create a directory listing provides a public name, salon or studio name, city, region, country, specialties, biography and optional booking link. A stylist may also choose to save the salon’s approximate device coordinates for distance matching. Exact coordinates are stored privately and are not displayed in the public listing. A client may choose to share their current device location for a directory search; the app uses it to calculate nearby results and does not save it to an IN CHAIR profile.

When billing is enabled, Stripe collects payment and billing information. IN CHAIR stores Stripe customer and subscription identifiers, checkout references, selected membership tier, salon seat count and subscription status. Card details are entered on Stripe-hosted pages and are not stored in IN CHAIR’s application database.

How information is used

We use information to operate accounts, review professional access, save consultations, share agreed plans, support follow-up care, provide opt-in stylist discovery and distance matching, administer memberships, respond to requests and protect the service. We process the information needed to provide the requested service, meet applicable obligations and maintain service security. Where consent is required, we request it for the relevant activity.

Photographs and consultation details are used for the consultation and care workflow. For inspiration photos, the app may process visible pixels in the user’s browser to estimate broad colour, contrast and tonal cues and attach up to two educational technique paths for the stylist. This visual aid reads the image as a whole, is not facial recognition, does not infer identity, and does not generate a chemical formula. The stylist must confirm the hair area, starting point, history, condition, testing and current product instructions in person. We do not use your consultation content for IN CHAIR advertising without separate permission.

Who can see your information

Your saved dossiers are tied to the account that created them. Connected clients receive the agreed plan, selected pricing, aftercare and check-ins. The client connection excludes private stylist notes, formulas and placement-planning fields. A salon owner can see the salon roster and member email identifiers but does not receive access to a teammate’s private dossiers through the salon workspace. A stylist may separately show or export information during a consultation; users are responsible for how they share those copies.

A stylist directory profile is hidden by default. When an approved stylist publishes it, the selected profile fields become publicly searchable. Exact coordinates, account identifiers and professional credential details are not included in the public directory response. A stylist can hide the listing again at any time. Booking links lead to an external service controlled by the stylist or its provider.

Professional credential submissions are available to the applicant and IN CHAIR reviewers. Review notes are shared with the applicant. Support requests are available to the requesting account and authorised support reviewers.

Supabase supplies account authentication, Cloudflare supplies hosting, database and object-storage infrastructure, and Stripe supplies subscription payment services when enabled. These providers process information to deliver their services and may maintain their own security, billing and operational records. We may disclose information where necessary to meet legal obligations, protect rights or security, or carry out a business transfer with appropriate safeguards.

Tracking and service diagnostics

The app uses browser storage for the opening animation, installation prompts, chosen client-or-stylist entrance and other local interface behaviour, while sign-in and hosting may use session cookies or equivalent technologies. IN CHAIR has no advertising-pixel integration in this release and does not sell consultation information or share it for cross-context behavioural advertising.

In-app interruption reports contain aggregated route, category, response status, count and timestamps, not consultation content or account identifiers. Reports older than 30 days are removed when new reports are received. Hosting, sign-in and payment providers maintain separate logs under their own practices. IN CHAIR does not use a Do Not Track signal to change its essential session or security functions.

Retention, archives and deletion

Consultations, settings, credentials, directory profiles and support records are retained while needed to provide the account, manage access, address requests or meet applicable recordkeeping and legal obligations. Hiding a directory profile removes it from search but does not delete the saved profile. Subscription cancellation does not automatically delete your information. Archived dossiers remain stored until restored or deleted.

Permanently deleting a dossier removes its live consultation record, linked check-ins and client connection. Photos referenced only by that dossier are queued for removal; a storage interruption can delay physical removal, with retries on later workspace loads. The app retains a minimal deletion marker containing record/account identifiers and affected photo references to prevent stale screens from recreating deleted records. Photos referenced by another dossier and detached uploads are not automatically erased by that operation.

Account provides a self-service deletion control after sign-in. It removes live IN CHAIR consultations, uploads, profiles, professional details, connections and support history, then closes the authentication account. Active subscription renewal must be cancelled first. A minimal deletion marker and information required for billing, security, disputes or other lawful purposes may be retained. Provider backups and records outside IN CHAIR follow the relevant provider’s retention procedures.

Your choices and privacy requests

Use Account to download an export, update supported information or permanently delete the account; use Help → Support for access, correction, objection, restriction, portability or other privacy questions. Available rights depend on applicable law. We verify requests and respond within the time required by the law that applies. Where relevant, you may complain to your local data-protection authority.

Account exports include saved information and photo references, but not the original image files or separate Stripe billing records. Ask Support about original uploads. If a stylist holds a separate copy or acts independently in collecting salon records, a request may also need to be directed to that stylist. Exercising privacy rights does not by itself cancel a paid subscription.

International processing and security

Service providers may process information outside your country. Contact Support for information about the providers and safeguards relevant to your location. Where applicable law requires specific safeguards for a transfer, those safeguards are required before processing in that market.

We use account-based access controls, restricted professional resources and protected payment handling. No storage or transmission method is guaranteed secure. Keep account credentials and invitation links private and report suspected unauthorised access through Support.

Adults and policy changes

IN CHAIR accounts and this release’s consultation service are intended for people aged 18 or older. Do not submit a minor’s personal information or photographs. If such information is submitted, contact Support so it can be reviewed and removed as appropriate.

We publish the current policy and version date here. Material changes will be presented through the app or another appropriate notice, with further consent where required.
